Everything MYOB needs to pick up where QuickBooks stopped

QuickBooks and MYOB store the same business in different shapes. These are the six places where the shape changes, and what we do about each one.

Every account gets a MYOB number

QuickBooks lets you run accounts with no numbers at all. MYOB AccountRight needs a number on every account, and the first digit says what kind of account it is: 1 for assets, 2 for liabilities, 3 for equity, 4 for income, 5 for cost of sales, 6 for expenses, 8 for other income and 9 for other expenses.

We give each QuickBooks account its MYOB number under that scheme. Sub-accounts become detail accounts under a header account, so your profit and loss still reads in the order your accountant expects. Your accountant signs off the new list before any transaction moves.

Customers, suppliers and staff become MYOB cards

QuickBooks keeps customers, suppliers and employees in separate lists. MYOB keeps every name as a card: customer cards, supplier cards, employee cards and personal cards for everyone else.

Each QuickBooks record becomes the right card type, with its Australian Business Number (ABN), payment terms and email address. When one business is both a customer and a supplier, it becomes two cards in MYOB, and we flag the pair so your team knows they are the same company.

Classes and locations become jobs and categories

QuickBooks classes and locations have no exact twin in MYOB. The closest fits are jobs, which sit on each line of an invoice or bill, and categories, which sit on the whole transaction.

A class you split across lines usually becomes a job. A location that covers a whole invoice, such as a branch or a site, usually becomes a category. We agree the mapping with you first, because it decides how every MYOB report can be filtered afterwards.

QuickBooks tax codes renamed for MYOB

QuickBooks Online names its Australian tax codes differently from MYOB. Sales and purchases with GST move to the MYOB GST code, GST-free items to FRE, input taxed items to INP, and anything outside the GST system to N-T. Capital purchases move to CAP so they land in the right box.

We then produce a past Business Activity Statement from both systems and compare them box by box before go-live.

Open invoices and bills stay payable

Invoices and bills still open on your conversion date go into MYOB as historical sales and purchases, under the numbers your customers and suppliers already have. A customer who pays invoice 1042 next week still pays invoice 1042.

Closed history comes across for as many years as you want to search in MYOB. Anything older stays in the archived QuickBooks file, where it can still be read.

QuickBooks payroll items rebuilt as MYOB payroll categories

MYOB groups payroll into wage categories, superannuation categories, entitlements, deductions and employer expenses. Each QuickBooks payroll item is rebuilt as one of those, and every employee gets their leave balances as entitlement balances.

Year-to-date figures go in so Single Touch Payroll reporting to the tax office carries on without a break. The cutover falls at the end of a pay period, never part way through one.

How your books get from QuickBooks into MYOB

  1. Pin down both editions

    First we confirm which QuickBooks you run, Online or Desktop, and which MYOB you are moving to, AccountRight or MYOB Business. Each combination comes out and goes in differently, so this decides the plan. You get a fixed-price scope from it.

  2. Tidy QuickBooks first

    Inactive customers, duplicate suppliers and accounts nobody posts to are dealt with in QuickBooks, so they never become MYOB cards or accounts. You approve every merge.

  3. Build the MYOB file

    We set the MYOB conversion month and build the numbered account list, tax codes, jobs, categories and payroll categories, then set up access for each person on your team.

  4. Load in a set order

    Cards first, then open invoices and bills, then opening balances, then history. In that order every opening balance in MYOB can be traced to the documents behind it.

Should we move to MYOB AccountRight or MYOB Business?

MYOB Business suits a smaller business that wants a system that runs in the browser. MYOB AccountRight suits a business that needs jobs, categories, inventory and more detailed payroll. We confirm which one before we quote, because the two are reached through different connections and the move is built differently for each.

Do you migrate QuickBooks Desktop as well as QuickBooks Online?

Yes. QuickBooks Online (Simple Start, Essentials, Plus and Advanced), QuickBooks Desktop (Pro, Premier and Enterprise), hosted QuickBooks and older files from 2014 and earlier. Desktop files have no cloud connection, so we read them from the file itself.

What does not move from QuickBooks to MYOB by itself?

Memorised or recurring transactions, bank rules and customised report layouts do not carry across on their own. We rebuild the recurring transactions and bank rules in MYOB and agree which reports need rebuilding. Attachments stay with the archived QuickBooks file unless you ask for them in MYOB.

Will we lose transaction history, tax data or payroll records?

No. Accounts, classes, cards, invoices, bills, bank transactions, payroll history, leave balances and Single Touch Payroll figures all come across. QuickBooks is never changed, and stays available read-only until you sign off on MYOB.

Can our finance team keep working during the migration?

Yes. Your team keeps working in QuickBooks until the cutover date. We time the switch to a month end or the end of a pay period, and run both systems side by side for a short check before the final switch.

Do you reconnect our other apps to MYOB?

Yes. Job systems such as ServiceM8, Simpro and Tradify, online stores such as Shopify, rostering and payroll tools such as Deputy and Employment Hero, and CRM systems such as HubSpot, Salesforce and Pipedrive are reconnected to MYOB as part of the scope.

Is our finance data safe during the move?

Yes. The work is done by our Australian team over encrypted connections. Logins are never stored in plain text, and nothing in the QuickBooks file is changed at any point.

Do you only work with Perth businesses?

No. We are based in Perth and work with businesses across Australia. The whole migration runs remotely, so your location does not change how it works.

Which system should we move to after QuickBooks?

The parts that decide the timeline are the same wherever you land: the chart of accounts, the general ledger, the customer and supplier master, open purchase orders and sales orders, opening balances and payroll history, and how much history you export out of the old system and import into the new one, rather than leave behind in a readable archive. Hosted files, local files and vendor exports each come out differently.

What if QuickBooks is end of life or out of support?

If you are looking because QuickBooks is too old, out of support or reaching end of life, that is a question of timing rather than whether. It is worth comparing the alternatives and moving away on your own schedule rather than on the one the vendor picks for you.
