Frequently asked questions about plumbing software

What kind of software do plumbing contractors actually need?

At a minimum: job management, quoting, scheduling, a field app for the team and accounting integration. Most plumbing businesses get that from Simpro, ServiceM8 or Tradify. What those tools do not cover well is the work specific to plumbing — Notices of Intent, Certificates of Compliance, AS/NZS 3500 documentation, annual RPZ backflow programs, strata and property-manager portals, drain-camera evidence and multi-division reporting. That is the layer we typically build on top.

We already use Simpro / ServiceM8 / Tradify. Do we need to switch?

No. We are not in the business of replacing software that is working. If your team already knows Simpro, ServiceM8 or Tradify, the cost of switching almost always outweighs the gain. The smarter move is to extend the platform you have — bolt on a property-manager portal, a custom CoC workflow, a backflow renewal program or an integration the platform does not offer cleanly. Can the system handle Notices of Intent and Certificates of Compliance?

Yes. We build the CoC workflow into the field app — pressure-test results, post-meter check data and inspector sign-offs captured against the job, certificate drafted from the job record, digitally signed on-device, dispatched to the customer and (where applicable) lodged with the water authority the same day the work is signed off. No more Sunday-night write-up sessions.

How do you handle annual backflow (RPZ) testing programs?

Every RPZ asset tracked against its 12-month renewal date, customer and site details linked, automated reminder cascade to the customer and the office before the window expires, test scheduled into the field calendar, certificate generated on completion and lodged with the relevant water authority. The whole program runs without anyone needing to remember it manually.

How does this work with our existing job platform?

We integrate with the platform's API and build the extension as a separate layer that reads from and writes to the platform. Your team keeps using the tool they know; the new functionality (a property-manager portal, a custom dashboard, a CoC workflow, an AI quote assistant) sits alongside. Data stays in one source of truth — your job management platform — with our layer extending it.

Do we need a custom mobile app, or is the platform's app enough?

The platform's app is usually enough for routine service work — taking job updates, capturing photos, logging time. Custom mobile makes sense when the field workflow has plumbing-specific requirements: CoC generation on completion, Bluetooth leak-detector or drain-camera integration, offline operation in basements and crawl spaces, or in-field commercial tendering. We often add a thin custom field app that talks to your existing platform, rather than replacing the platform's app outright.

Can you connect Xero, MYOB or QuickBooks?

Yes. Xero, MYOB and QuickBooks integration are standard. Multi-entity contractors with separate ABNs for residential, commercial and maintenance divisions are supported cleanly — revenue, GST and payroll split per entity without manual rekeying.

Can AI help with quoting, compliance or admin?

Yes, where the data supports it. AI automation can pre-fill bathroom and hot water quotes from past similar jobs, triage emergency call-out SMS into severity bands, summarise long strata scope documents and flag jobs at risk of going over budget. We only add AI where it removes real work — not because it sounds good in a brochure.
