Integration

AroFlo Integration Services
so a finished job reaches the books overnight.

HELLO PEOPLE is a Perth AroFlo integration company. We connect AroFlo to your accounting, payroll, supplier catalogues and customer portal, so the jobs, hours and invoices your crew already entered on site are not typed in again by the office.

AroFlo limits how often outside software may ask it for data each day, so we agree what runs straight away and what waits for an overnight run before anything is built. Fixed-price scope, an Australian team, and support after launch.

  • Australia-wide Perth-based, working with trades nationally
  • 18+ years Building custom software
  • Planned Inside the AroFlo daily call limit
  • Fixed Price scopes, no hourly billing
Australian owned and operated

Built here. Your data stays here.

  • No offshore development. Everything is written by our own team in Australia. Nothing is subcontracted overseas.
  • Your data stays onshore. Hosted in Australia, on infrastructure you own, under Australian law.
  • Every state, not just ours. Perth, Melbourne, Sydney, Brisbane, Adelaide and everywhere between.

Where AroFlo data usually needs to go

Accounting, payroll, reporting and spend systems that trade and field service businesses most often ask us to join to AroFlo. Click a platform to see its own integration page.

The problem

Why does the office still re-key what the crew entered?

The technician closes the job in AroFlo on site. Then somebody in the office types it into the accounting system, keys the hours into payroll, and discovers on Thursday that Tuesday never made it across. Usually one person holds that routine in their head, and it stops when they are on leave.

What you already run

What we build

One planned integration

Reads completed jobs and timesheets from AroFlo in planned batches, checks each record, writes it to the right system, and holds anything unusual for a person. Every run is logged, so a missing invoice can be traced in minutes.

What changes

  • Completed jobs arrive in accounting as invoices by the next morning
  • Ordinary hours reach payroll, overtime waits for approval
  • Supplier prices and customer status stay current without a side spreadsheet
What We Build

What an AroFlo integration developer builds for you

Five pieces of AroFlo integration work, each one planned against the daily limit so they can run side by side. Pick a tab to see how it works.

Completed AroFlo jobs become invoices

When a technician closes a job in AroFlo, the labour, materials and customer details are already there. We carry them into Xero, MYOB or QuickBooks as a draft or approved invoice, so nobody in the office types the job out a second time.

The run happens overnight by default. That keeps the daily allowance AroFlo sets for outside systems free for anything that genuinely needs to move during the day.

AroFlo timesheets to payroll

Hours logged against jobs in AroFlo are checked against the roster, then loaded into your payroll system. Ordinary hours go straight through.

Overtime, call outs and anything over the rostered day wait for a supervisor to approve them first. Paying overtime is a decision, so the integration never makes it on its own.

Supplier catalogues kept current in AroFlo

Wholesalers change prices often, and every supplier sends their file in a different layout. We reshape each file into what AroFlo expects and refresh the catalogue on a schedule.

Quotes then start from this week of pricing rather than last quarter, and the estimator stops maintaining a side spreadsheet of price changes.

Customer portals fed from AroFlo

Property managers and facilities clients ask the same things every week: has the job been done, where is the invoice, when is the next service. A portal on your own website answers that from AroFlo data.

Updates are read in batches rather than on every page view, because each read counts against the daily allowance. For most clients, status that is a few hours old answers the question just as well.

Job margin reporting across AroFlo and accounting

AroFlo knows the labour and materials on each job. The accounting system knows what was invoiced and paid. We join the two so margin by job, by customer and by type of work sits in one report.

The report refreshes after each overnight run, which suits owners who review margins weekly rather than by the minute.

Pricing

How a custom AroFlo integration is priced

Every custom AroFlo integration is priced as a fixed scope, not by the hour. What moves the price is how many systems are involved and how much data runs each day.

A short call about your AroFlo setup

Tell us what AroFlo feeds today and what somebody still re-keys. We will tell you what is worth connecting and what is not.

A fixed price against a written scope

The scope names every record that moves, which direction, and how often. The price covers the build, testing and go-live. If the scope changes, we re-quote rather than bill by the hour.

Start with the job that costs the most time

For most AroFlo businesses that is invoicing or payroll. The daily allowance plan is written once, so the next connection fits inside it.

Why HELLO PEOPLE

Should you use a connector tool
or a custom AroFlo integration?

Connector tools are quick to set up, and some jobs suit them. With AroFlo, the daily call ceiling and the access request decide most of the answer.

Case Study

Connected business systems cut manual data entry by 85%

An Australian business running on five disconnected platforms, accounting, CRM, field-service, eCommerce, and reporting, was spending hours each day re-keying the same data. We connected the systems through their APIs so contacts, invoices, orders and payments flow automatically. Errors are visible and recoverable.

How It Works

From a screen share to a planned overnight run

Six steps. The second one, planning the daily allowance, is the step most AroFlo integrations skip and later regret.

  1. Look at your AroFlo

A short call and a screen share. Which modules you use, how jobs are closed off, and where the office re-keys the most.

  2. Plan the daily allowance

We list every read and write the integration will make and add them up against the 2,000 calls AroFlo allows each day. What runs live and what runs overnight is agreed here.

  3. Access and build

AroFlo support switches on access for your account. We build against it, with checks on every record and a log of every run.

  4. Test on real jobs

Quoted jobs, do and charge jobs, call outs and long shifts from your own history, so the awkward cases are proven before go-live.

  5. Switch on

The first overnight runs are watched closely, and the office checks the first invoices and pay run against what they would have typed.

  6. Keep it running

If a run fails or the allowance runs low, you hear about it the same morning. Support plans cover changes on either side.

Today

Thursday is when Tuesday goes missing

  • Jobs are closed on site, then typed again as invoices
  • Hours are keyed into payroll from a printout
  • Supplier price rises reach quotes weeks late
  • Clients ring the office to ask if the job is done

After

The office starts the day with it done

  • Jobs closed yesterday are invoiced by morning
  • Ordinary hours reach payroll, overtime waits for a supervisor
  • The catalogue carries current supplier pricing
  • Clients check status in a portal instead of calling

Scoped and quoted before you commit. You own the code and the credentials.

Questions

What trade owners ask about AroFlo integration

What does an AroFlo integration consultant actually do?

Works out what should move between AroFlo and your other systems, how often, and what should stop for a person to check. Then plans it inside the daily limit AroFlo sets. On a first call that usually takes about half an hour, and you leave knowing whether a build is worth it.

Are you an AroFlo integration company or a reseller?

HELLO PEOPLE is an integration company, not an AroFlo reseller. We earn nothing from your AroFlo subscription, so we can tell you plainly when AroFlo already does what you need.

Why do I need an AroFlo integration developer rather than a connector tool?

Because of the daily ceiling. AroFlo allows 2,000 calls a day from outside systems. A connector that checks for changes every few minutes can spend that before lunch, and then everything stops until tomorrow. An AroFlo integration developer designs around the ceiling from the start.

How do we get AroFlo API access?

The API (the published connection point AroFlo offers other software) is not on by default. AroFlo support switches it on for your account. We help you set out what the integration needs so the request is straightforward.

What does a custom AroFlo integration cost?

It depends on how many systems are involved, which direction data moves and how many jobs you run a week. We quote a fixed price against a written scope once we have seen your setup. There is no hourly billing.

Can AroFlo timesheets go straight into payroll?

Ordinary hours can. Overtime, call outs and anything outside the roster are held for a supervisor, because paying them is a decision a person should make.

What happens if AroFlo is unavailable or the daily limit is reached?

The run stops cleanly, records nothing half-finished, and sends an alert. The next run picks up where it left off. Nothing is loaded twice.

We are moving from Tradify to AroFlo. Can you help?

Yes. Tradify exports are cleaned and mapped onto AroFlo clients, sites and the price list, so AroFlo starts with tidy records rather than a copy of old problems.

Tell us what AroFlo needs to reach

Which accounting and payroll systems sit beside AroFlo, and what the office still types in by hand. We will come back with a plan, the daily call budget it needs, and a fixed price.
