Mining services contractor — underground and surface operations
A mid-size mining services company operating across multiple sites in the Pilbara and Goldfields. Their field teams conduct safety inspections, pre-start checks and incident reports daily across remote locations.
Everything was paper-based. Inspection forms were filled out on-site, driven back to the office, re-keyed into spreadsheets, and manually compiled into compliance reports. Forms went missing, data was inconsistent, and real-time visibility across sites was non-existent.
What needed to change
Paper forms were the bottleneck. Field supervisors spent 2–3 hours per day on paperwork — filling out multi-page inspection checklists, incident reports and pre-start forms. The forms varied by site and equipment type, and keeping the right version in circulation was a constant problem.
No connectivity at most sites. Underground operations and remote surface locations had zero mobile coverage. Any digital solution had to work fully offline and sync when a device came back in range.
Compliance reporting was reactive. By the time inspection data made it from paper to spreadsheet to report, issues were days old. The safety manager needed real-time visibility across all sites, not a weekly email with an attached PDF.
What we built
A native mobile app for field teams with offline-first architecture, GPS tagging and photo capture — paired with a web dashboard for real-time compliance monitoring.
Mobile Inspection App
Native iOS/Android app with configurable inspection checklists, pre-start forms and incident reporting. Works fully offline with automatic sync when connectivity returns.
GPS & Photo Capture
Every inspection is automatically GPS-tagged and supports photo evidence capture. Location and images are embedded in the inspection record for audit purposes.
Compliance Dashboard
Web-based dashboard showing real-time inspection status, overdue items, open incidents and completion rates across all sites.
Configurable Forms
Admin panel for safety managers to create and update inspection templates without developer involvement. Version-controlled with automatic rollout to field devices.
How it works
Supervisor opens the app on-site
Selects the site, equipment or area from pre-configured lists. The correct inspection form loads automatically based on asset type.
Completes inspection offline
Works through the checklist on-device. Captures photos, notes defects, records GPS coordinates. All data stored locally on the device.
Flags critical items immediately
High-severity findings are flagged for urgent action. When connectivity returns, these trigger immediate notifications to the safety manager.
Device syncs automatically
When the device reconnects — back at camp, passing a cell tower, or on Wi-Fi — all completed inspections sync to the central system.
Dashboard updates in real time
Compliance dashboard reflects new data immediately after sync. Site managers and the safety team see current status without waiting for manual reports.
Measurable outcomes
The lads actually use it. That was the test. If the field guys adopt it without being forced, you have built the right thing. We went from chasing paper to having everything live on the dashboard.
