Integration

Cliniko Integration Services
so the front desk stops typing every visit twice.

HELLO PEOPLE is an Australian Cliniko integration company for allied health, physiotherapy and clinic businesses. We connect Cliniko appointments, invoices and payments to your accounting, payments, reporting and patient communication.

This is patient information, so which Cliniko user the integration runs as, and what it can see, is agreed with you before we quote a fixed price.

The problem

Why is the front desk typing every visit twice?

Appointments are booked and completed in Cliniko. Then somebody at the desk types the same visit into the accounting system, chases the payment, and works out at the end of the week which invoices were never raised. The clinical side and the money side hold two versions of the same day.

What you already run

What we build

One careful connection

Runs as its own Cliniko user, reads only billing and appointment details, posts them to accounting at the end of each day, and holds anything that does not add up for a person.

What changes

  • Every completed appointment has an invoice by the evening
  • Health fund and desk payments land on the right invoice
  • Practice reports stop being a Friday job
What We Build

What a Cliniko integration developer builds

Five pieces of custom Cliniko integration, each planned around the request limit and the permissions of the user it runs as.

Completed appointments into your accounting system

At the end of each clinic day, completed appointments in Cliniko become invoices in Xero, MYOB or QuickBooks, with new patients created as contacts on their first visit.

Only what accounting needs travels: the patient name, the service, the amount and the payment. Clinical notes stay in Cliniko, where they belong.

Desk and health fund payments matched properly

A consult is often paid in two parts: the health fund portion and the gap the patient pays at the desk. Each part is matched to the right invoice.

When the two do not add up to the fee, the invoice stays open and a person decides what happens. Nothing is written off automatically.

Practice reporting across Cliniko and the books

Appointments by practitioner, rebooking rates, and revenue by service type, joined with what was actually paid according to accounting.

Reports read Cliniko in planned batches, so they never compete with the booking screen for the request limit.

Online booking and chat that read real availability

A website chat assistant or booking page is only useful if it offers times that are actually free. We connect it to Cliniko so it reads real availability and books into the right practitioner calendar.

Availability checks are live, because a stale time slot causes a double booking. Everything else runs on a schedule to stay inside the limit.

Patient communication from Cliniko records

Follow up messages after a first visit, reminders for patients who have not rebooked, and recalls on a schedule, all driven by what Cliniko already holds.

The integration runs as its own Cliniko user, so it can reach only the records it needs to send those messages.

Pricing

How Cliniko work is scoped and priced

Access first, then a fixed price. A practice should know what the integration can see before it knows what it costs.

A 20 minute look at your practice

What the front desk re-types each day, and where the money side and the clinical side disagree.

Access agreed before a price

Which Cliniko user the integration runs as, and what it may see, is settled with you before we quote. It is patient information.

Fixed price, then support

One price for the build, testing and go-live. Support plans cover changes in Cliniko or your accounting system after that.

Why HELLO PEOPLE

Can a connector tool handle
patient data in Cliniko?

Connector tools can move Cliniko records. The questions a practice should ask are which login they run as, how they share the request limit, and what they do with a payment that does not add up.

Case Study

Connected business systems cut manual data entry by 85%

An Australian business running on five disconnected platforms, accounting, CRM, field-service, eCommerce, and reporting, was spending hours each day re-keying the same data. We connected the systems through their APIs so contacts, invoices, orders and payments flow automatically. Errors are visible and recoverable.

How It Works

Access settled before anything is built

Six steps, and the second one is the one that matters most in a clinic: deciding exactly what the integration may see.

  1. Sit with the front desk

We watch a normal end of day: what gets typed where, which payments are awkward, what is left for tomorrow.

  2. Decide what the integration may see

A Cliniko key carries the permissions of its user. We set up a dedicated user with you and write down exactly what it can reach.

  3. Plan live and scheduled work

Booking availability is read live. Accounting, reporting and messages run on a schedule, so the 200 a minute limit is never the bottleneck.

  4. Build and test with real days

Busy days, cancellations, split payments and first visits, tested before anything posts to your live books.

  5. Go live alongside the desk

For the first week, the desk checks the posted invoices against what they would have entered.

  6. Watch and support

Failed runs raise an alert the same evening. Support plans cover changes on either side.

Meet the person

Cliniko Integration, one seamless process

Your Cliniko Integration, handled by the founder from start to end.

Hello, I am Kasun, the founder of HELLO PEOPLE. My first career was in accounting, so I connect systems the way an accountant would: every record lands in the right place, and both sides agree.

I have run HELLO PEOPLE from Perth since 2007. Over 100 projects sit behind it, from accounting migrations and system integrations to custom software for small and medium businesses.

I have a solid accounting and IT background, with over 20 years of business experience covering every process a business runs on: sales, marketing, service delivery, inventory and warehousing, and compliance, across many industries. I hold accounting and IT professional qualifications and an MBA in Oil and Gas, and I am currently reading for a PhD in AI at Curtin University in Western Australia, focused on retrieval-augmented generation (RAG).

  • An old-fashioned service

Small and boutique. The person who scopes your integration is the person who builds it, and the same person watches the first live syncs.

  • Quick responses

No ticket queue and no account manager in between. You hear back within one business day, usually sooner.

  • A long-term partner

The integration is the start, not the end. When you need the next system, integration or report, you call the same person, who already knows your business.

Today

Two versions of every clinic day

  • Visits are typed from Cliniko into accounting
  • Health fund gaps are found weeks later
  • The practice report is rebuilt every Friday
  • The integration, if there is one, uses a shared login

After

One day, recorded once

  • Invoices post at the end of each day
  • Shortfalls are held and shown the same evening
  • Reports refresh on their own
  • A dedicated user with only the access it needs

Scoped and quoted before you commit. You own the code, and the Cliniko user stays under your control.

Questions

What practice owners ask about Cliniko integration

What does a Cliniko API integration need to get started?

A Cliniko API key, which is the credential outside software uses to connect. The key carries the permissions of the Cliniko user it belongs to, so we set up a dedicated user for the integration with you, and it can see only what that user can see.

Why not use the practice manager login for the integration?

Because the key would inherit everything that login can reach, including patient records the integration has no reason to touch. A separate user makes the boundary deliberate, and it can be switched off without locking anybody out.

What does a Cliniko integration consultant look at first?

What the front desk re-types each day, and which of those records are patient information. A Cliniko integration consultant settles access before any building starts, then plans what must be live and what can wait for the end of the day.

Is HELLO PEOPLE a Cliniko integration company or a reseller?

We are an independent integration company. We do not resell Cliniko or any other practice system, so there is no commission steering the advice.

Does the Cliniko request limit matter for a small clinic?

It matters more than people expect. Cliniko allows 200 requests a minute. A booking page, a reporting job and an accounting sync all share it. A Cliniko integration developer plans which of those runs live and which runs on a schedule, so the booking page is never the one that waits.

How much does a custom Cliniko integration cost?

It is a fixed price against a written scope, set once access and the systems involved are agreed. Accounting only is a smaller job than accounting, bookings and reporting together.

Do clinical notes leave Cliniko?

Not in anything we build for accounting or reporting. Those only need billing and appointment details, so that is all the integration reads.

Tell us what your front desk re-types

Your accounting system, how patients pay, and what gets entered twice at the end of the day. We will come back with the access the integration needs and a fixed price.
