Heavy vehicle transport operator — interstate and intrastate freight
A transport operator running 25 heavy vehicles across WA and interstate routes. Chain of Responsibility (CoR) legislation placed compliance obligations on the entire supply chain — not just drivers. The company was legally liable for fatigue management, load compliance and vehicle maintenance standards.
CoR records were kept in a combination of driver logbooks, spreadsheets and filing cabinets. The compliance manager spent most of their week chasing paperwork and manually checking that documentation was complete. An audit would have been painful.
What needed to change
CoR compliance was entirely manual. Driver fatigue hours were tracked in paper logbooks. Load weights were recorded on paper consignment notes. Vehicle pre-start checks were completed on printed forms. Everything had to be collected, filed and cross-referenced by hand.
Audit readiness was non-existent. If a regulator or customer audited the operation, the compliance manager would have needed days to assemble the required documentation. Some records were incomplete or missing entirely.
Fatigue management was risky. Work/rest hour calculations were done manually from driver logbooks. Errors in calculation could mean drivers were on the road when they should have been resting — a compliance breach and a genuine safety risk.

Fatigue Management
Digital work/rest tracking linked to GPS and dispatch data. Automated calculations of available hours under standard, BFM and AFM rules. Alerts when drivers approach fatigue limits.
Load Compliance
Digital consignment management with load weight recording, mass management and dimension checks. Automated flagging when loads approach or exceed limits.
Pre-Start Checks
Digital pre-start inspections via the driver app. Photo evidence, defect reporting and automated escalation of safety-critical items. Replaces paper forms entirely.
Compliance Dashboard
Real-time CoR compliance status across the fleet. Drill down by driver, vehicle or route. Full audit trail with document storage and automated report generation.
How it works
Driver starts shift
Opens the app and completes the digital pre-start vehicle inspection. Any defects are reported with photos and escalated automatically.
Work hours track automatically
GPS and dispatch data feed into the fatigue management system. Hours driving, resting and on other work are recorded against the driver's profile.
Load recorded digitally
Consignment details and load weights are entered in the app. The system validates against mass limits and flags non-compliance before the vehicle departs.
Compliance dashboard updates
The compliance manager sees real-time CoR status — which drivers are approaching fatigue limits, which vehicles have open defects, and which loads need attention.
Audit reports generate on demand
When a regulator or customer requests compliance documentation, the system generates a complete audit package — driver records, vehicle checks, load documentation — in minutes.
Measurable outcomes
We had our first NHVR audit six months after going live. The auditor said it was the cleanest set of compliance records they had seen from an operator our size. That system paid for itself in that moment.
