MYOB Acumatica, sold in Australia as MYOB Advanced, hands out data through its API, the data connection other software uses to read it. Whether that connection works depends on the licence your business holds, not on your login.

A limited licence logs in cleanly and then refuses every financial record. So we test each record type we need, one by one, before any price is written. If the connection is not available, we name the fallback route (reports run period by period) in the proposal.

Each company split out on its own records, not on the login

Picking a company when you log in to MYOB Acumatica does not filter what the API returns. Read that way, company B can hand you company A’s ledger. We separate every transaction by the company field on the record itself.

Customers and suppliers are held once and shared by every company. If you are moving into more than one Xero organisation, we agree with you which contacts go where before anything loads.

Historical data loaded once, not twice

Most journals in MYOB Acumatica were created by the payables, receivables or cash screens. Load those journals and the bills and invoices behind them, and every figure lands in Xero twice. We read which module made each journal and load each event once.

Project journals are the exception. Some have no bill or invoice behind them at all, so we load them as journals rather than drop them. Skip them and the trial balance still balances while the profit and loss by account is wrong.

Opening balances taken from the right period, then proven

The opening position for Xero is the first new period’s beginning balance in MYOB Acumatica, not the last old period’s ending balance. The ending balance comes before the year end close, so it does not net to zero.

Xero then wants things in its own order: the chart of accounts, then contacts and the invoices still open, then the conversion balances. We follow that order, and we check the result by reading Xero’s reports back, not by counting what was sent.

What happens to payroll?

Xero Payroll is a separate part of Xero with its own setup. A pay calendar has to exist before any employee can be added, and that calendar sets your pay periods and your Single Touch Payroll (STP) reporting dates, so a person on your side confirms it. We then carry employees and their year to date figures across and check them before the first pay run in Xero.

Why does payment history take longer than the rest?

MYOB Acumatica will only tell us which invoices a payment settled when we ask about that one payment. So payment matching runs one payment at a time, which is hours rather than minutes on a busy ledger. We price it as its own step so it never surprises anyone.

We use MYOB Acumatica for construction. Does retention come across?

The retention you hold at the conversion date comes across in the opening balances. What Xero cannot do is rebuild retention movements from the invoices, because the invoices carry income after retention while the ledger carries it before. We show you that difference line by line and agree how Xero should hold it.

Is it better to switch from MYOB Acumatica to Xero at the end of a financial year?

The start of a financial year is cleanest, and the start of a quarter is a fair second. Xero treats the conversion date as the first day of the month you start in Xero, so balances at 30 June are a July conversion. If the balances do not agree in time, we move the date rather than go live on numbers we cannot explain.
