How long does a Power BI integration project take?
A focused single-source connection (Power BI to Xero, MYOB or Salesforce with a standard dashboard) typically runs 2 to 4 weeks. A multi-source model joining accounting, CRM, operations and inventory typically runs 5 to 10 weeks. Fixed-price after a 15-minute scoping call.
What is the difference between DirectQuery and Import mode?
Import mode copies data into Power BI on a schedule (max 8 refreshes per day on Pro, 48 on Premium). DirectQuery queries the source live at report open time — no stale data, but slower and dependent on source availability. We recommend Import for most AU SMB workloads and a lightweight warehouse layer when refresh frequency is critical.
Our Power BI dataset refresh keeps failing. Can you fix it?
Yes — this is one of the most common things we fix. Failures usually trace to expired OAuth tokens (Xero and Salesforce rotate them), on-premises gateway version drift, or a source-system schema change that breaks a query. We diagnose, fix and document the root cause so it does not recur.
Do we need Power BI Premium to do this?
Not for most projects. Power BI Pro (licenced per user, around monthly SaaS pricing) handles the data model, scheduled refresh and sharing within your organisation. Premium is worth it when you need more than 8 refreshes per day, paginated reports at scale, or deployment pipelines for dev/test/prod workspace promotion.
How do you connect Power BI to Xero — there is no native connector?
Xero's API returns data we pull via a custom Power Query connector or an Azure Function middleware layer that flattens the paginated Xero responses into a clean dataset. We handle token refresh, rate-limit back-off and incremental loads so your dashboard reflects data from overnight rather than last quarter.
Can Power BI handle our multi-entity Xero or MYOB setup?
Yes. We build a consolidated model that fetches each entity separately, applies consistent chart-of-account mapping across entities, and presents a group-level view with the ability to filter down to any single entity. Eliminations can be handled at the model layer if needed.
What about row-level security — can managers only see their own team data?
Row-level security (RLS) is built into the Power BI semantic model. We define roles (e.g. State Manager, National View) and map them to Azure AD groups so access is managed centrally. A manager logging in sees only their region; the exec team sees everything. No separate report copies needed.
We already have a Power BI environment — can you add to it rather than rebuild?
Absolutely. We audit the existing workspace, datasets and reports first. Where the existing model is sound we extend it; where there are structural issues (cross-filter ambiguity, lack of a date table, hardcoded credentials) we fix those in place. We hand back documented, maintainable work — not a locked black box.
