Perth Construction Company
The Challenge
A growing Perth construction company with 200+ workers across multiple sites was still using paper timesheets. Workers filled them in at the end of each week — often from memory. Supervisors spent hours checking and approving. The payroll team then manually entered everything into Xero, which took two full days every fortnight. Errors were common, overtime was miscalculated, and workers regularly complained about incorrect pay.
The Solution
We built a web-based timesheet system that works on any phone or tablet. Workers clock in and out from site using their mobile — GPS confirms they're actually there. Supervisors approve timesheets with a tap. The system automatically calculates regular hours, overtime, weekend rates, and public holiday loadings based on their award structure. Approved timesheets sync directly to Xero for payroll processing. No re-entering, no spreadsheets, no arguments about hours.

2 weeksWorked with their payroll team to understand every pay rate, allowance, overtime rule, and leave entitlement. Mapped the full approval workflow from worker to supervisor to payroll.
Mobile-First Design
2 weeksDesigned the worker experience for phones on a building site — big buttons, fast loading, works offline. Supervisor and payroll dashboards for desktop.
Core Development

Site Rollout
2 weeksPiloted on two sites, refined the mobile experience based on real field feedback, then rolled out company-wide.
Payroll used to take two full days every fortnight. Now it takes an hour. Workers clock in on their phones, supervisors approve on their iPads, and it all flows to Xero automatically. Best money we've spent in years.
