The Challenge

A rapidly growing restaurant group operating five venues across Perth was struggling with fragmented systems. Each venue used different POS systems, inventory management was handled via spreadsheets, and financial reconciliation required staff to manually transfer data between Square, Deputy, and Xero - consuming over 20 hours per week in administrative tasks. The group's management lacked real-time visibility across venues, making it difficult to identify performance issues, optimise staffing, or manage inventory effectively. Month-end reporting took an additional week to compile manually.

The Solution

We developed a centralised integration platform that connects all venue systems into a single source of truth. The solution integrates Square POS across all venues, Deputy for rostering and time tracking, and Xero for accounting - with automated data synchronisation eliminating manual data entry. A custom management dashboard provides real-time visibility into sales, labour costs, and inventory across all venues. Automated daily reconciliation ensures financial data is always accurate, while custom reporting delivers insights previously unavailable to the management team.
