Why move from Xero to Business Central?
The most common triggers we see are: the business now has multiple legal entities that Xero cannot consolidate natively (one Xero organisation per ABN, no native intercompany); inventory has grown beyond Xero's simple stock tracking to need FIFO/average costing, bin locations, or MRP; job costing and project accounting have outgrown WorkflowMax; the Xero app stack (Cin7, Deputy, WorkflowMax, Fathom) has become expensive and brittle; the business is PE-backed and being told to standardise on Business Central; or management reporting has become an unmanageable monthly Excel exercise. If none of those apply, Xero may still be the right call and we will say so.
How much Xero history can you bring across to Business Central?
In principle, all of it. In practice we ask which years need to be live and queryable in Business Central — typically the last 2–7 years — and archive older data as exports. The ATO requires 5 years of records to be accessible; we always migrate at least that far back and carry an additional buffer where data volume allows.
What happens to our Xero Payroll during the migration?
Payroll is scoped carefully on the first call. The most common outcome for Australian businesses is that payroll moves to KeyPay or Dayforce connected to Business Central, preserving STP continuity and year-to-date figures. Some clients retain Xero Payroll alongside Business Central as a short-term bridge while the payroll migration is staged separately. We do not prescribe the answer before understanding your setup.
We use Cin7 and WorkflowMax alongside Xero — what happens to those?
Both are inventoried in the data audit and scoped for re-plumbing. Cin7 has a Business Central connector and we can rebuild the integration against BC's REST API. WorkflowMax (now Plannr) jobs and project history can be migrated into Business Central's project accounting module or into a Business Central-connected job costing tool. No integration is left undiscovered.
Can Business Central handle multi-entity and multi-currency?
Yes — multi-entity consolidation is one of the strongest reasons to move from Xero. Each legal entity gets its own Business Central company file, intercompany transactions are handled natively, and group consolidation and elimination journals can be automated. Multi-currency is native in Business Central with realised and unrealised FX gain/loss calculated automatically. Power BI sits across all entities for a single group P&L view.
What does Business Central do with inventory that Xero cannot?
Business Central brings FIFO, average and standard costing methods; multiple warehouse locations and bin management; landed cost allocation across purchase orders; manufacturing bills of materials and MRP planning; and assembly orders. Xero tracks simple stock quantities with no cost layering, no locations, and no production planning. If your inventory has outgrown Xero, Business Central is a material upgrade.
Can you rebuild our Xero reports in Power BI?
Yes. Custom Xero reports and existing Excel management packs are rebuilt as live Power BI dashboards connected directly to Business Central. Finance, operations and board reports refresh automatically from Business Central data — no monthly export, no manual pivot tables. For businesses with large transaction volumes, Microsoft Fabric is available as the data layer.
Do we own the migration scripts and documentation?
Yes. Migration scripts, reconciliation reports, data mapping documents and any integration code all live in your GitHub repository from day one — not ours. Xero stays installed read-only for one financial year as an audit safety net. After that you keep exported archives indefinitely. There is no ongoing licence or fee to us after the project closes.
